Self-Registration within Workflow helps studios gather subject data ahead of shoots and gather important contact information like email addresses and phone numbers without slowing down picture day. This is especially helpful for jobs where subject data is not available ahead of time or when working with walk-up registrations.

Studios can also attach custom forms to collect additional information that helps organize and identify subjects on picture day.

Why Studios Use This Feature

  • Make registration faster and easier for subjects for picture days where data is not provided by the organization

  • Support walk-up or unknown-subject workflows

  • Capture additional custom information through forms

This feature helps studios make more by reducing friction during registration while increasing opportunities for communication and future sales.


Enable Self-Registration

To enable Self-Registration:

  1. Open the job in Captura Workflow

  2. Navigate to Job Settings

  3. Select Self Registration

  4. Attach a Custom Form (optional)

  5. Enable Self-Registration

  6. Click Sync

Once enabled, a registration link is automatically created for the job.


What Happens Next

After enabling Self-Registration, you can:

  • View the registration link

  • Copy and share the link with subjects

Each job receives a unique registration link for subject registration. Subjects use the registration link to register themselves for the job, if a custom form is attached in the self registration setting the subject will be asked to fill in those fields at the time of registering.

If a user wants to register another subject immediately after completing registration, they can click the register another subject button after completing their first form.

Custom Forms (Optional)

Studios can attach a custom form n the self registration settings to collect additional information. This custom form functions separately then the custom form attached in the general job settings.

When a self registration custom form is attached:

  • Custom fields appear after the default fields

  • Each field follows its configured required or optional setting

This is useful for collecting information like:

  • Team names

  • Grade levels

  • Teacher names

  • Jersey numbers

  • Any studio-specific identifiers


Field Mapping & Value Precedence

If a custom form field maps to the same subject field as a default field:

  • Both fields may appear on the registration form

  • If both fields are completed, the custom form value takes precedence


Subject Registration Flow

  1. Subject opens the registration link

  2. Subject completes the required fields

  3. Subject clicks Register

Result

A subject record is immediately created in the job.

No additional syncing or manual action is required.

Note: If the job is currently open in Workflow, you may need to leave the job and reopen it to see newly registered subjects.


When to Use This Feature

Self-Registration is a great fit when:

  • Subject data is not provided ahead of time

  • Facial recognition is not needed

  • You want to increase collection of contact information for communication and marketing

  • You’re managing walk-up registrations or flexible picture day workflows
