Captura Workflow is the command center of the Captura ecosystem — a concise playbook to help studios make more time, more revenue, and more confidence across a season. Below is a streamlined, outcome-focused reference of the typical studio process.

1. Pre-Season Preparation (Before Contract)

Goal: Prepare templates, products, and pricing so jobs launch smoothly and scale with less effort.

  • Catalog & Product Design

  • Price Sheet Creation

  • Create Job Templates

2. Contract Secured → Job Setup

Goal: Configure the job once so operations run predictably on picture day and beyond.

  • Create Job

  • Add Job Images (if applicable)

  • Assign Print Templates

  • Bulk Sort

  • Activate Job

3. Marketing & Preorder Phase

Goal: Drive participation and early revenue with clear marketing and clean data.

  • Launch Marketing

  • Preorders Open

  • Data Cleanup

  • Import Subjects into Job

4. Picture Day

Goal: Capture reliably and keep records accurate so downstream work is fast and error-free.

  • Photographer Onsite

  • Clear ID Cards Folder (optional)

  • Sync Devices

  • Run “Not Photographed” Report

5. Post Production / Image Processing

Goal: Produce consistent, sale-ready images quickly using built-in editing and AI batch tools.

  • Crop

  • Knockout

  • Color Correction

  • Glass Glare Removal (optional)

6. Preorder Matching

Goal: Convert preorders into fulfilled orders by matching orders to subjects efficiently.

  • Orders → Select Preorders → Assign to Subjects

  • Match Subjects to Orders

  • Auto-Assign Images

7. Post-Picture Day Sales & Fulfillment

Goal: Move jobs to fulfillment with clean timing and reliable lab/shipping processes.

  • Job Switches to Direct Ship (based on Direct Ship date)

  • Order Fulfillment → Release

    • Lab Printing

    • Shipping

8. Integrations & Outputs

Goal: Export and publish the right deliverables to labs, Product Designer (PLIC), schools, and other systems — seamlessly within the ecosystem.

  • Push to PLIC

  • Product Designer (PLIC Elements)

    • Bulk to School Labels

    • Composites

    • Services / Specialty Products

  • Exports

9. Retakes (If Needed)

Goal: Capture fixes and repeat production steps with the same workflow to avoid rework.

  • Retake Picture Day

    • Photographer

    • Clear ID Cards Folder (optional)

    • Sync

  • Repeat Job Production Steps (Processing → Matching → Fulfillment)
