QR Code Slate Cards allow you to embed each subject’s gallery link inside a scannable QR Code. These cards make it easy to sort images to subjects using Smart Workflow and give customers direct access to their personal galleries.

  • Create QR Code Slate Cards inside Captura Workflow

  • Export QR Codes for all subjects or a single subject

  • Design QR Codes outside of Captura Workflow

  • Understand Smart Sort design requirements

  • Use QR Codes during capture and sorting


⚠️ Important Warning

If your subject data contains special characters, the QR Code export will fail.
Examples: ! @ # $ % ^ & * ( )

Remove or replace special characters before exporting.


Before You Begin

Make sure the following requirements are met:

  • QR Codes can only be used in jobs configured with subjects.

  • Smart Workflow is required to sort images to subjects using QR Codes.

  • Subject data must be imported and synced before generating QR Codes.

  • The QR Code image must not exceed 3/5ths of the total slate image.

  • Subjects deleted and recreated after exporting QR Codes will need new QR Codes.

  • The QR Code’s solid black box must remain fully intact.

Examples of invalid QR Code captures

  • Fingers covering part of the black box

  • A clipboard or slate holder covering the box

  • Drawn lines or marks through the box or code


Setup / Configuration

You can create QR Code Slate Cards in three ways:

  1. Designed with Captura Workflow — All Subjects

  2. Designed with Captura Workflow — Single Subject

  3. Designed Outside Captura Workflow — Third‑Party Tools

Step‑by‑Step Instructions


1. Designed with Captura Workflow — All Subjects

1. Export QR Codes

  1. Open your job.

  2. Go to Tools → Export → QR Codes.

2. Configure Your QR Code Template

Inside the QR Code export tool, you can:

  • Choose how QR Codes are grouped and sorted

  • Select how many QR Codes print per page

  • Set Stack Sort to match the number of sheets your paper cutter slices at once

    • This keeps printed stacks in the correct order

3. Add Subject or Studio Data

You can include:

  • Subject fields

  • Studio information

  • Custom text

A live preview updates as you make selections.

4. Export the PDF

Choose a save location and click Export.

2. Designed with Captura Workflow — Single Subject

1. Select the Subject

Open the job and select the subject you want to print for.

2. Print the QR Code

Click Print → QR Code.

3. Customize & Export

Add any subject/studio data or custom text.
Preview updates automatically.
Choose to
direct print or download the QR Code Slate Card.


3. Designed Outside Captura Workflow — What URL to Use

You can design QR Codes using any third‑party QR generator.

Required URL Format

Each QR Code must embed:

https://vando.imagequix.com/s[internal-id]

Where:

  • internal-id = the Internal ID assigned to each subject in Captura Workflow

  • You can find Internal IDs by exporting subject data

  • Subjects deleted and recreated will receive new Internal IDs → they need new QR Codes

4. Designed Outside Captura Workflow — Smart Sort Design Requirements

To ensure Smart Sort can read your QR Codes:

Required QR Code Models

  • Use QR Code Model 1 or Model 2
    (Most third‑party tools default to these)

Design Requirements

  • Print on white or light‑colored paper for maximum contrast

  • Include a solid, thick black box around the entire QR Code

    • This matches Captura Workflow’s built‑in QR Code exports

    • Smart Sort first detects the box, then scans the code inside it

If the black box is missing or broken, read accuracy drops significantly.


Using QR Code Slate Cards with Smart Sort

How to Take Pictures with QR Codes

  1. Photograph the QR Code before photographing the subject.

  2. Every image taken after the QR Code is automatically assigned to that subject.

  3. Capture the QR Code from a 3/5 distance for best readability.


How to Add and Sort Pictures to Subjects

  1. Add your images to Unsorted Images.

  2. Click Sort.

  3. Inside the tool, go to Autosort → QR Code → Sort.

  4. When sorting is complete, click Finish to sync assignments.
