Overview & Objective

A Job is where everything comes together in Captura Workflow. It stores your images, subject data, orders, pricing, and gallery settings for a specific shoot or event.

In this guide, you'll learn how to create a new Job, understand the available configuration options, and choose the right settings before you begin.


Setup / Configuration

Before creating a Job, make sure you have:

Both are required before a Job can be created.


Settings That Cannot Be Changed After Job Creation

The following options are permanently locked once the Job has been created.

Subject Configuration

Creates subject-based galleries where images are assigned to individual subjects.

Creates a standard gallery where everyone can view every image.

Green Screen

Supports PNG uploads and allows customers to order custom backgrounds.

PNG images are automatically converted to JPG during upload.


Settings Locked After Images Are Added

These settings can be changed initially but become locked after images have been uploaded.

Large Format (Default): Maximum image size of 6000px on the longest side.Standard Format: Limits images to 3200px on the longest side for faster uploads.

Disable Face Detection

Speeds up image imports by disabling automatic face detection and Auto Head-sizing.

Important: Pre-Order Jobs should always use a Custom Form.

đź’ˇ Pro Tip: If you're unsure which image format to use, leave it set to Large Format. You can always optimize uploads in other ways, but image quality cannot be recovered later.


Step-by-Step Instructions

What is a Job?

Think of a Job as a folder that contains everything related to a single photography event or shoot, including:

  • Images

  • Subject records

  • Orders

  • Gallery settings

  • Pricing

  • Online ordering configuration

Any changes you make locally must be synced before they're available on your other devices.


Create a New Job

  1. Select Jobs from the navigation menu.

  2. Click + New.

  3. Enter the required Job information.

Note: There are several optional configuration pages during setup. This guide covers only the minimum settings required to create a Job.


Enter a Job Title

We recommend using a consistent naming format.

Suggested format

YEAR SEASON SCHOOL TYPE

Examples:

  • 2025 Fall ABC Elementary Underclass

  • 2025 Spring XYZ High School Seniors

  • 2025 Smith Wedding

Choose a naming convention that's easy for both your studio and staff to identify later.


Select a Job Type

Choose the option that best matches your event.

Available Job Types:

  • Wedding

  • Portrait

  • Seniors

  • Underclass Spring

  • Underclass Fall

  • Sports

  • Event

  • Daycare Spring

  • Daycare Fall

Using the correct Job Type helps:

  • Filter Jobs more easily

  • Restrict discount codes

  • Improve bookkeeping and reporting


Configure the Job

Choose how your Job will behave.

Subject

Enabled

Disabled

Creates private galleries for each subject.

Creates one shared gallery containing all images.

Supports subject records and unique online codes.

No subject records.

Supports keyword and password access.

Keyword and password access still available.

Supports Pre-Order.

No Pre-Order.

Supports Green Screen.

No Green Screen.

Supports Workflow order entry.

No Workflow order entry.

Separates subject and group images.

All images remain together.

Locked after Job creation.

Standard Job configuration.


Pre-Order

Customers can place orders before images are available.

Customers must verify the subject gallery before ordering.

Requires a Custom Form.

No Custom Form required.

Subject data and images can be added later.

Subjects and images must already exist.


Green Screen

Disabled

Supports PNG image uploads.

PNG images convert to JPG automatically.

Customers can preview custom backgrounds online.

Background selection is unavailable.

Requires Background Sets in the assigned Price Sheet.

Background Sets are not required.

Locked after Job creation.

Standard JPG workflow.


Hidden

Job is hidden from the Gallery Landing Page. Customers must use a direct gallery or subject link.

Job appears in gallery searches and the Gallery Landing Page.


Manually Set Online Codes

Enabled

Disabled

Allows you to define your own unique online code when creating or importing subjects. Useful when using Student IDs or another existing identifier.

Captura Workflow automatically generates unique online codes for every subject.


Configure Images

Image Format

Option

Description

Large Format

Default setting. Maximum image size of 6000px. Recommended for most studios.

Standard Format

Limits images to 3200px for smaller file sizes and faster uploads.


Only Show Primary Image

Displays only one image for each subject in the gallery.

The Primary Image is determined by the studio and defaults to the first image uploaded unless changed.


Disable Face Detection

Disables automatic facial processing during image import.

Benefits:

  • Faster uploads

  • Faster image processing

Trade-off:

  • Auto Head-sizing is unavailable for the Job.


Assign a Price Sheet

Select an active Price Sheet.

You can browse or search your available Price Sheets.


Assign Cart Settings

Choose the Shopping Cart Template you want this Job to use.

You can browse or search your active templates.


Create the Job

Click Create to finish setup.

You'll be taken directly to the Job dashboard tab inside your new Job.

Tip: Enable Import subjects after job creation if you want to begin importing subject data immediately.

Subject-based Jobs (Unique Online Codes)

Enable Manually Set Online Codes if you want to define your own gallery passwords or IDs.

Standard Jobs (No Online Codes)

Everyone can view every image. To protect access, set a gallery password under General > Password.

Subject-based Green Screen Jobs

Supports PNG image uploads and background ordering.

Q: Can I change Subject Configuration after creating a Job?

A: No. Subject Configuration is permanently locked once the Job has been created.

Q: Can I enable Green Screen later?

A: No. Green Screen must be enabled when the Job is created.


Q: Can I change the Image Format?

A: Yes, but only before images have been uploaded. Once images exist in the Job, the setting becomes locked.


Q: Why should I use Large Format?

A: Large Format preserves the highest image quality (up to 6000px) and is the recommended setting for most workflows.


Q: When should I use a Custom Form?

A: Always use a Custom Form when creating a Pre-Order Job. This allows customers to provide the information needed to match their order to the correct subject after checkout.
